POSITION:  EXECUTIVE DIRECTOR

 

EXECUTIVE DIRECTOR'S JOB QUALIFICATIONS:

  • Bachelor of Arts in the field of Counseling, Education, Public Administration, Psychology or related field.

  • Consideration will be given to equivalent work experience in management, planning, training, teaching, and group counseling in lieu of a B.A. degree. 

  • 4 - 5 years experience in program management and administration.

  • Also, work experience in teaching, supervision, marketing and public relations is preferred.

  • Must have experience working with persons of diverse cultural and socio-economic backgrounds.

  • Demonstrate analytic ability, knowledge of non-profit business management and communication skills.

  • Demonstrate leadership skills.

  • Bilingual preferred: fluent in speaking and writing English and Spanish.

JOB DUTIES (Included but not limited to):

  • Serves as the general office manager and reports directly to the Vice-President of Operations and the Vice-President of Program Development in terms of program management, administration and marketing,

  • Identifies and secures the assigned number of schools per quarter,

  • Meets with principals and other schools personnel about date, time, space and all other details to prepare a successful Parent Institute program, 

  • Supervises recruiters and facilitators; monitors their outreach to parents, class enrollment, attendance retention and graduation, 

  • Maintains accurate records, hosts weekly meetings with facilitators and arranges the graduation ceremonies,

  • Teaches the parent training classes as needed,

  • Serves as a spokesperson for the Parent Institute,

  • Supervises, monitors and controls office budget,

  • Coordinates and direct the parent training classes,

  • Assists the Associate Directors in choosing host school sites and making necessary scheduling arrangements,

  • Communicates regularly with host school staff (clusters, leaders, principals, administrators),

  • Supervises outreach to parents including telephone and mail contacts,

  • Hires and administers contracted facilitators and seminar leaders,

  • Trains and monitors the progress of facilitators along with the Associate Directors by conducting weekly facilitator meetings,

  • Supervises and sustains high enrollment and attendance,

  • Plans and supervises the graduate ceremonies,

  • Prepares correspondence related to the parenting classes.

POSITION:                               ASSOCIATE DIRECTOR

 

 

ASSOCIATE DIRECTOR'S JOB QUALIFICATIONS:

POSITION:   OFFICE MANAGER

 

JOB QUALIFICATIONS:

 

  • 2+ years of successful experience with administrative duties

  • Must have working knowledge of all A/P and A/R responsibilities

  • Must have exceptional skills with computer programs such as Word, Excel.

  • Must possess strong reporting skills, writing skills, managing processes and analyzing information

  • Must have a high level of professionalism with strong problem solving skills

  • Familiar with supply management and inventory control

  • Superior verbal and written communication skills 

  • Bilingual preferred: fluent in speaking and writing English and Spanish

 

JOB DUTIES: (Included but not limited to)

 

  • Supervise office staff,

  • Accurately maintain school rosters,

  • Prepare graduation certificates and programs

  • Answer incoming phone calls

  • Prepare check requests for payables, recruiters, coordinators, and facilitators

  • Invoice all school districts for services rendered

  • Input addresses for office mailings

  • Develop weekly schedules for schools

  • Maintain all program forms and statistics up to date

  • Process all paperwork needed for employment with facilitators, coordinators and recruiters

  • Assist the director in all aspects of office procedures and general requirements

  • Maintain and accountable for petty cash

  • Monitor office supplies and process all purchasing









POSITION:  SECRETARY

SECRETARY’S JOB QUALIFICATIONS:

 

  • Full time / 40 hr. wk.

  • Must be bilingual ( English & Spanish)

  • Computer skills

  • Typing 40+wpn.

JOB DUTIES: (Included but no limited to)

  • Assist in maintenance of school rosters

  • Prepare graduation certificates and programs for schools

  • Answer telephones and record messages for all office personnel

  • Input addresses for office mailings

  • Develop weekly schedules for schools

  • Maintain office space and equipment

  • Assist the Office Manager/Director in all aspects of office procedures and general requirements

  • Monitor office supplies and process all purchasing

  • Prepare and monitor correspondence for the Institute

  • Handle incoming and outgoing correspondence

  • Prepare format typeset newsletters and information flyers

  • Maintain parent enrollment, weekly attendance rosters and graduation records of classes for schools

  • Prepare and reproduce publicity and promotional materials.

  • Update staff record

  • Arrange for reproduction and storage of class materials and distribution






POSITION:   COORDINATOR

 

JOB DUTIES:

 

 

  • Assist Director with Recruiters

  • Prepare agenda with Associate Director for planning session

  • Take attendance at classes

  • Prepare class materials (when going to schools take extra materials in case there is a need)

  • Be present at planning session to assist Director/Associate Director

  • Identify potential recruiters

  • Collect all registration forms

  • With Recruiters, total the number each recruiter brought to the planning session

  • Collect attendance rosters

  • Verification of class totals

  • Rosters delivered to the main PIQE office

  • Verify all make-ups and transfers are recorded properly

  • In the event an instructor is absent or late they teach the class

  • Distribute evaluation forms and graduation certificate

 








POSITION:  RECRUITER

RECRUITER’S JOB QUALIFICATIONS:

  • Be a Parent Institute graduate.

  • Have a working telephone and the time required to complete phone calls.

JOB DUTIES: (Included but no limited to)

  • Attend training

  • Make assigned number of phone calls 2-3 days before the planning session of the school.

  • Make follow up phone calls to parents to attend the sessions.

  • Keep a record of the number of wrong and disconnected telephone numbers and the number of parents that say will attend in the morning and evening sessions.

  • Give the above report to the Associate Director or Executive Director.
